Understanding the status of different elements in the word processor
When you are working in the word processor, content taken from the knowledge base is identifiable two different ways:
- A bracket, to the right of it, running from top to bottom of the text or image.
- An icon at the top right symbolizing the knowledge base and the status of the content.
The icon at the top right of the content (text, image or PDF attachment) tells you what its status is:
: the content is synced with the knowledge base, and this is the most up to date version.

: the content is synced with the knowledge base, but this is not the most up to date version.
/
: the content is unsynced from the knowledge base.
What is the difference between ‘synced, not up to date’ and ‘unsynced’?
By default, content taken from the knowledge base remains synced with it.
When a newer version of the content becomes available, the status of the content in place will become ‘synced, not up to date’, and the update will be proposed the next time you open your document/master :
As long as your content is ‘synced, not up to date’, this window will appear each time you open your document/master until you decide to update the material or unsync the content.
Unsyncing media
When your content is ‘synced, not up to date’, there are two ways to unsync it so that the updates are no longer proposed to you every time:
- 'Skip this update' : If you do not want to integrate the most recent update but want to be informed about future ones. The content’s status then is ‘unsynced’ until another new version is available. When that happens, your content will become ‘synced, not up to date’ and later updates will be proposed to you when you open the document/master.
- 'Skip this update and future updates' : You wish to keep your content in its current form, with no more updates to it proposed even when they become available.
NB : Whether you’ve opted to ignore just this update or all future updates, you can at any time re-sync your content by clicking on 'Update'.
What is unlinked content?
In some cases, text content taken from the knowledge base can be no longer linked to the KB. This happens for example when the organizational structure of the content is changed:
- Elements are added (paragraphs, images, pdf attachments, etc.)
- Elements are archived (paragraphs, images, pdf attachments, etc.)
- Changes are made to the title of an element
When you change the organizational structure that applies to text content taken from the knowledge base, this window will appear:
If you click ‘Continue’, the content will be unlinked.
Once content is unlinked, it no longer has a connection to the knowledge base. It will appear just like text that was not taken from the knowledge base and updates will not be proposed for it. It cannot be re-synced.
