Advanced Search allows you to search for your documents within the groups and folders that you access to.
Search a document
- Open the folder list by clicking on the 'Files' icon
in the right panel on the homepage.
- Click on "Advanced search"
in the left column.
- A window will open where you can search your documents by:
- The name / description of the documents: enter the keyword you want to search for in the name / description of the document (if there are several words, they must follow each other in the name of your document, e.g. to search for the document called "Mémoire technique Nantes métropole", enter "Nantes" or "Nantes métropole" but not "Mémoire Nantes" otherwise the search will be unsuccessful).
- The name / description of the folders: Indicate here the keyword of your search for the name / description of the folders (if there are several words, they must follow each other in the name of your document, e.g. to search for the document named "Mémoire technique Nantes métropole", enter "Nantes" or "Nantes métropole" but not "Mémoire Nantes" otherwise the search will be unsuccessful).
- The group(s) (you can include the subgroups of the parent group(s)).
- The creation date of the document: Specify a date or a time period.
- The name of the document creator: Select an author from the list of users who have access to the group in question.
- The modification date of the document: Specify a date or a time period.
- The name of the last person to modify the document: Select an author from the list of users who have access to the group in question.
- The type of document: Original document, Version, Model.
- The source of the document: Specify whether the document is created from a Master or duplicated from another document. Select a master or a document from the drop-down list.
- The status of the document: Specify whether the document is active or archived.
- Whether the document is still marked as DRAFT (if it still has at least one XX or empty attachment slot).
- Click on "Search" button.
NB:
- Filter criteria are cumulative.
- The search window remains filled with your filters until you click 'Reset' or open a search result document.
Understanding the search result
The result of the search is displayed in the central screen of XaitProposal, all the documents matching your search criteria are displayed (regardless of the groups in which they are stored).
To identify their location, open the document and consult the path at the top of the page.
To export the search result
It is possible to export the result of the search in Excel, i.e. the list of documents according to your criteria / filters.
To export the list :
- Click on the "Export" icon
at the top right of your screen.
- Click on "Export All" to get an Excel file with the list of documents. If you have selected some documents, you can click on "Export selection".
NB: The Excel export is limited to a list of 10, 000 documents.
