This article covers the Search Engine feature. Please check with your administrator to ensure that this module is subscribed to and enabled for your account.
The "Search and Suggestions" feature allows you to search for existing content within your database and insert it directly into the document you are currently drafting.
⚠️ Important: Difference from the Knowledge Base The search engine is used to retrieve specific existing content. If you modify content inserted via the search engine, it will not be automatically added to the knowledge base. The knowledge base remains the administration and governance tool for your generic content.
How to Use the “Search and Suggestions” Feature
Step 1: Start a Search
- In your editor, place the cursor exactly where you want to insert new content, then click the "+" menu.
- Click the search icon (magnifying glass) to open the search and suggestions window.
- Enter your keywords or phrases in the search field.
- NOTE: The search is semantic (it understands the meaning of your sentence) and lexical (it searches for keywords).
- Click the "Search" button to start the analysis.
- Optional: Use the filters to refine your results:
- By content type: Check the boxes to show only chapters, subchapters, paragraphs, tables, or illustrations.
- By source: Document or Master
- By document type : Filter to show only Masters, initial documents, or your templates.
- By status: In progress / closed, Draft yes/no
Step 2: Compare and Select a Result
- Compare the results : You can display up to two preview screens side by side to read and compare the answers and choose the best one.
- Clean up : Remove irrelevant results from your list to make it easier to review (this does not delete the data from the database, only from your current search results).
- Select the desired content, then click "Use this content".
Step 3: Confirm the Location and Content Level
After selecting a result, a new window displays your document outline so you can finalize the insertion.
- The initial location (where you clicked the "+") is selected by default. If necessary, you can click another line in the outline to change the destination.
- Choose the structural level at which you want to integrate this content (for example: insert it as a Chapter, Subchapter, or simple Paragraph).
- If this feature is enabled for your account, you can check the "Improve content" option so that artificial intelligence adapts the text to your document.
- Click the "Insert" button to confirm the operation.
Step 4: Finalize in the Editor
- You are redirected to your editor, where the content has now been inserted.
- An information icon remains visible next to the inserted level, allowing you to view the details of the original source at any time.
- If you selected the rewriting option during the previous step, the side panel will open automatically so you can review and approve the proposal generated by artificial intelligence.
Note about navigation: If you decide to close the search window before inserting content, a warning message will inform you that your
