Creating new content, an attachment (PDF format)
Attachments added to the knowledge base can be used when you are creating documents.
To add new attachments:
- Access the knowledge base by clicking this button
in the left-hand pane of the home page.
- Click on the button "Create".
- Upload the file by clicking "Select a file" or drop it off in the designated area.
- Select the use: "All", "Attachment" or "Illustration". Specify if necessary, depending on how you intend to use the file: only as an attachment, or as an illustration.
- Rename the PDF if necessary (by default, the name of the inserted file is used).
- Add a description (optional).
- Add a tag (optional).
- Select the group to which the PDF will belong:
- As a user, you can save it in your own personal space.
- If you are Knowledge-base Manager, you can select the group that will have access to this PDF.
- Add a manager (optional).
- Add a validity period (optional).
- Click on the button "Import".
⨻ Please note: the file size limit is 20 MB. For optimal results we recommend uploading PDF with dimensions appropriate for your intended use, with all layers merged.
NB :
- The name of the files added to the knowledge base is very important for searches and updates of content. We advise you against naming your files like 1234.pdf.
Please consult your administrator for any naming conventions. - If you don’t save the PDF attachment in your personal space, it will no longer be accessible to you. Only your Knowledge Base manager will be able to see the file and make it available to a group or in your personal space.
For example, here we imported an PDF named "6269 Xait BrandGuide - September 2023" that can be use as an illustration and attachment (all use). It is visible in the centre of the page, and also as a miniature image in the right-hand column along with its properties.
