Setting merge field features
To set the merge fields features, you must be a Content Manager. To learn more about merge fields, click here to read the full article: Introduction to merge fields.
There are several types of merge fields available to help you customize your documents. When you create a merge field, you can select the type you want from the drop-down list.
Text
The user enters text in one line. This text will be inserted into your document where the field code has been added.
For example: the "Contact 1 name" field appears in the form as a fill-in field on one line.

Multiple choice
The user selects a text from a drop-down list. The selected text will be inserted into your document where the field code has been added.
For example, here the custom field {{business}{sale_status}} appears as a drop-down list from which you can select.

Text area
The user enters text in several lines. This text will be inserted into your document where the field code has been added.
For example: the "Client address" field appears in the form as a fill-in field.

Image
The user inserts an image from their desktop or from the knowledge base. This image will be inserted into your document where the field code has been added. It is set-up only on the graphic layout, and can't be set-up on the content of a master / document.
For example, in this form the "Client Logo" field appears as a window where you can import an image.

Date
The user selects the date from a calendar. This date will be inserted into your document where the field code has been added. The date format will always be DD/MM/YYYY.
For example, in this form, the field “Document date” appears as a calendar.

Fixed value
The administrator sets the features for a fixed value to be merged in the page layout or main body text, automatically.

NB: The values for "Fixed value" merge fields are not visible in the form or questionnaire. Only the administrator (content manager) can edit them.
Customisable value
The administrator sets the features for a list of values to be linked to an answer in the questionnaire. The value corresponding to the selected answer will be merged into the page layout or main body text.
The "Other" value allows the writers to add a personalized value that will be merged in the document.
With this custom field, there are multiple values with a unique merge field code.

NB: The values for "Customizable Value" merge fields are not visible in the MCQ document, only the associated answers. Only the administrator (content manager) can change the list of values. The proposal writer can only customize an answer if the answer value "Other" is available.

Important to know when setting up or updating merge fields:
For updates:
- MCQ merge fields, linked to answers (fixed, multiple choice, customizable value) are automatically updated in existing documents if the user goes back to the MCQ and clicks on 'Save'. If he doesn't go back to the MCQ, the values won't change in the existing document.
- Form merge fields (fixed, multiple choice) won't be updated in any existing document. The user will have to create a new document to have the new values.
For set-up:
- When you set a merge field for a folder form, its values will apply to the document it contains.
These values cannot be changed later in the document, even if you move your document to a different folder or if you change the folder form.
You must duplicate your document and set the duplicate options "Keep the values of the merge fields" to "No" and, if necessary, "Keep the answers to the questionnaire" to "No".
