Sending a new version
For all the image and PDF attachment resources saved in the knowledge base, you can manage different versions.
To save a new version of the resource:
- Select the resource you want to update by clicking on it.
- Click 'Send a new version' in the right-hand column, above the miniature image of it.
- Upload a new resource by clicking 'Select a file'.
- Click 'Import'.
- The new version is shown in the centre panel with a miniature image displayed in the right-hand column.
NB: The new version of a resource will not be automatically used in your documents and masters. You will need to select it from the knowledge base by clicking the icon 'Replace image' or 'Replace attachment' when you are on the image or the PDF attachment concerned in the word processor.
Consulting previous versions
To view the past versions of a resource, click the buttons 'Previous', 'First' or 'Next', 'Last' depending on how many versions there are of this resource.
The number of versions of the resource is specified in the right-hand column along with its characteristics.
Dates are given under the miniature, they are the:
- Created > for the first version.
- Revised > for the latest version added.
Restoring an older version
From the knowledge base:
- View the different versions of a resource by clicking on the buttons'Previous', 'First' or 'Next', 'Last' depending on how many versions there are of this resource.
- Once you are on the version you would like to restore, click 'Restore this version'.
- The version is restored in the knowledge base, and is therefore the one that will appear in searches.
From the word processor, for a master:
You must be a 'Content manager' and 'Knowledge Base manager' to do this.
- In the master select the image or PDF attachment to update.
- Click 'Replace attachment' or 'Replace image': the knowledge base opens focused on the details of the resource selected.
- Click 'Send a new version' in the right-hand column.
- Import the new version from your computer.
- Click 'Use'.
- The resource is updated in the master. You simply need to publish it for it to be available to everyone to use.
