- In the plan in the left-hand column, click on the level you wish to assign to an employee.
- To the right of the title, click on the 'Actions' button and then on 'Add a task'.
- Fill in the fields:
- Select the type of task:
- Contribution: if the expected task is to modify the content sent or to create content.
- Validation: if the task is to validate the content sent. The validator can also modify the assigned content.
- In the 'For' field, enter the first few letters of the name or email of the person to whom you wish to assign the task:
- If the contributor has an account in XaitProposal, their name will be suggested.
- If no name is suggested, enter the email address of the contributor, then fill in the 'Full name', 'Username' and 'Language' fields to create a 'contributor' account for them.
(capture “Nouveau contributeur” à faire)
- In the 'Due date' field, select the desired end date for processing the task.
- In the 'Instruction' field, enter your message to the contributor.
- Click on 'Create'.
The person designated as the contributor or validator now has access to your microsite/Master Web.
An email is sent to the contributor or validator with a link to the part of the microsite/Master Web assigned to them. A notification also appears on their XaitWebProposal homepage.
NB:
- The 'Validation' task allows the person requested to modify the content in the same way as the 'Contribution' task. The only difference is that the person requested must 'Validate' or 'Reject' the content when the task is finalized.
- Only one person can be asked to contribute to the same piece of content.
- When the person takes over the task and finalizes it, you will receive an email notification to let you know.
- If you ask a person who is not part of your group to do the task, you will need to decide whether to give them read-only rights for the rest of the mini-site, or whether they will only be able to view and modify the part assigned to them.
- If you are requesting information from someone who does not have an account, or if you receive a message indicating that the quota has been used up, contact your administrator.
